Terms & Conditions

  1. Cancellations and Refunds
    Should a delegate wish to withdraw their registration, the following policies will apply to refunds of payments:
    1. Delegation Registration Fee (applicable to all delegates):
      1. More than 60 days prior to the event: if a cancellation request is submitted in writing, a refund of the Delegation Registration Fee will be provided, less any bank charges or credit card fees incurred by the Council.
      2. Less than 60 days, but more than 30 days prior to the event: if a cancellation request is submitted in writing, a refund of 50% of the Delegation Registration Fee will be provided.
      3. Less than 30 days before the event: no refund will be provided.
    2. Formula 1 Champions Club Package (applicable to Full Delegates):
      Payments for the Formula 1 Champions Club package are non-refundable once purchased, as per the terms set by the third-party supplier.
  2. Liability
    The Council will not be held responsible for any personal injury, loss, or damage that may occur during participation in the delegation or related activities. Delegates are strongly encouraged to arrange their own travel and medical insurance to cover any unforeseen incidents.
  3. Event Changes
    The Council reserves the right to modify the event itinerary, schedule, or guest list at any time due to unanticipated circumstances. In this event, the Council will seek to provide suitable alternative arrangements where possible and communicate any significant changes to delegates as soon as possible.
  4. Travel and Accommodation
    Delegates are responsible for arranging their own travel, accommodation, and personal expenses unless otherwise specified. The Council assumes no responsibility for any travel-related arrangements or expenses.
    The Council has secured a group rate with Le Royal Méridien Abu Dhabi, intended for registered delegates only. Delegates must book their own accommodation directly with Le Royal Méridien Abu Dhabi using the reservation portal provided. The Council assumes no responsibility for third-party bookings, including with Le Royal Méridien Abu Dhabi.
  5. Name Changes and Transferability
    Name changes are to be approved at the sole discretion of the Council. Any approved name changes may be subject to additional administrative fees incurred by third parties.
  6. Discount Eligibility
    Corporate Membership accounts must be financially active at the time of registration to be eligible for any members’ discount on the Delegation Registration Fee. Discounts apply only to current employees/representatives of member organisations.
    In the event a purchaser applies a members’ discount that they are ineligible to receive, the Council reserves the right to offer the purchaser the option to:
    • join the Council as a Corporate Member by paying the applicable membership fees;
    • pay the difference in amount with the price applicable to the purchaser’s level of membership; or
    • withdraw their registration to receive a refund, less any bank charges or credit card fees incurred by the Council.

    When you register for the delegation, we may collect the following information:
    • Personal Information: Full name, job title, company name, position, email address, phone number, and emergency contact information.
    • Event-Related Information: Dietary preferences, special requirements (e.g., accessibility), event session preferences, and accommodation preferences.
    • Billing Information: Billing address, payment details, and invoicing information, where applicable.
    • Travel Information: Hotel bookings and travel-related preferences, if applicable.
  3. How We Use Your Information
    We use the information you provide to:
    • Process your registration for the delegation event.
    • Facilitate your participation in delegation activities, including accommodation bookings, transport arrangements, and event scheduling.
    • Communicate important updates about the event (itinerary changes, logistical details, etc.).
    • Provide invoices, receipts, and process payments related to your registration.
    • Ensure your health, safety, and well-being during the event (e.g., emergency contact, dietary or accessibility needs).
    • Comply with any legal obligations or regulations.
  4. Disclosure of Your Information
    We may share your personal information in the following circumstances:
    • Third-Party Service Providers: Your information may be shared with third-party service providers who assist with event logistics, including accommodation providers (e.g., Le Royal Méridien Abu Dhabi), transport services, and event venues. These providers are only permitted to use your information to facilitate event-related services and must comply with data protection laws.
    • Event Partners: With your consent, we may share your contact information with event partners, and participating companies/organisations that are hosting delegation site visits or briefings.
    • Legal Requirements: We may disclose your information if required to do so by law or in response to a legal request (e.g., court orders, government regulations).
  5. Security of Your Information
    We take reasonable administrative, technical, and physical measures to protect the personal information you provide from unauthorised access, disclosure, or misuse. However, no data transmission over the internet or data storage system can be guaranteed to be 100% secure.
  6. Data Retention
    We retain your personal information only for as long as necessary to fulfill the purposes outlined in this policy or as required by law. After the event, your personal data will be securely stored or deleted as appropriate.
  7. Your Rights
    1. You have the right to:
      • Access, correct, or update your personal information.
      • Request the deletion of your personal data where legally applicable.
      • Object to the processing of your personal data in certain situations.
      • Withdraw your consent for the sharing of your data with third-party service providers (if withdrawing before event-related services are booked).
